Introduction
Quba Nursery, operating under Quba Masjid & Education Centre, provides early years care and education for children in Hayes, United Kingdom.
The following Terms and Conditions set out the agreement between Quba Nursery and the parent(s), legal guardian(s), or authorised carer(s) of any child attending the nursery. Throughout these terms, Quba Nursery may be referred to as “we”, “our” or “the Nursery”, and the parent(s) or guardian(s) may be referred to as “you”.
1. Reserving your child’s nursery place
To request a place for your child at Quba Nursery, you must complete the relevant registration or enrolment form and return it to the nursery. We will contact you to confirm whether a place is available for your child.
Once a place is confirmed, you may be required to pay the applicable registration fee and make the necessary arrangements for the first payment of fees in order to secure your child’s place.
2. Your child’s health and care requirements
Before your child starts at the nursery, you must provide all relevant health, care, allergy, intolerance, medical, and emergency contact information in writing. It is your responsibility to notify the nursery promptly of any changes to this information.
You must also provide up-to-date contact details for yourself and any authorised persons permitted to collect your child. Where relevant, you must provide copies of any court orders or formal care arrangements relating to your child.
3. Illness, medication, sunscreen and activities
Children must not attend Quba Nursery if they are suffering from sickness, diarrhoea, an infectious illness, or any condition that may place other children or staff at risk, unless they are symptom-free or medically cleared to return.
If your child becomes unwell or is injured while at the nursery, we may administer first aid, arrange medical assistance, or request early collection. If we are unable to contact you, we may contact an authorised person where necessary.
Prescribed medication will only be administered where the appropriate documentation has been completed. The nursery may also administer certain non-prescribed medication where this is considered necessary and in the child’s best interests, in accordance with our procedures.
Where appropriate, children may take part in supervised local walks or outdoor activities. If you do not wish your child to participate in these activities, you must notify the nursery in writing.
4. Opening hours and collection
Quba Nursery opening hours are published on our website and may be updated from time to time. Parents should ensure that children are collected on time by an authorised adult aged sixteen years or over.
If a child remains at the nursery after the specified collection time and we are unable to reach a parent or authorised contact, we may take such steps as we consider appropriate in the interests of the child’s welfare. Late collection charges may apply where relevant.
5. Nursery fees
Nursery fees depend on your child’s age, booked sessions, and any applicable funding arrangements. Current fee information is available from the nursery and may be updated from time to time.
Fees are generally payable in advance in accordance with the nursery’s payment schedule. Any funded hours, childcare vouchers, tax-free childcare payments, or other approved payment methods must be arranged in line with nursery requirements.
The nursery reserves the right to review and amend fees by giving reasonable notice. Additional charges may apply for late collection, failed payments, extra sessions, or other ancillary services where relevant.
Fees will not usually be refunded for absences due to illness, holidays, or other non-attendance unless otherwise agreed in writing by the nursery.
6. Additional care and change of sessions
Subject to availability and the nursery’s minimum booking requirements, you may request additional sessions or changes to your child’s booked sessions. Any changes are subject to approval by the nursery.
Where a reduction in booked sessions is requested, at least one calendar month’s written notice may be required. Additional sessions may be charged at the applicable rate and are subject to availability.
7. Notice of termination
Unless otherwise agreed, either party must provide a minimum of one calendar month’s written notice to terminate a child’s nursery place.
The nursery reserves the right to suspend or terminate a place immediately where there are outstanding fees, a serious breach of nursery policies, or where termination is considered necessary in the best interests of the child, other children, or staff.
8. Privacy notice
Quba Nursery processes personal data relating to children, parents, guardians, carers, and authorised contacts in order to provide nursery services, support safeguarding, comply with regulatory obligations, and maintain proper administrative records.
Personal data may include contact information, child development information, medical information, funding information, and other information reasonably required for the safe and effective provision of nursery care and education.

9. General
The nursery is not responsible for personal items left on the premises, including clothing, prams, car seats, or other belongings, unless otherwise required by law.
Quba Nursery may amend these Terms and Conditions where required by operational, legal, safeguarding, or regulatory reasons. Where changes are significant, reasonable notice will be provided.
These Terms and Conditions, together with any registration forms, fee information, admissions information, and relevant nursery policies, form the basis of the agreement between you and Quba Nursery.
These Terms and Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the jurisdiction of the English courts.
